Signing Off on a Group of Activities Using the Activity Search

Managers who receive training activities for employees are able to sign off on a group of activities by using the Activity Search function.

Managers can sign off either by searching for a user and signing all training activities for that user, or by searching for a document and signing all activities for that document.

To sign off on a group of activities with one signoff:

  1. You can do an Activity Search from your My TMS page or select the Activity Search on the Reports  page.
  2. Expand the Filter Search and select the training Activity Type from the drop-down list.
NOTE: You must select the training activity to invoke the signoff function.
NOTE: The training activity type may have a different description based on changes made by your site administrator.
  1. Enter information for the individual document or the individual user for group signoff.
NOTE: You must select a user or a document as well as the activity type to invoke the signoff function.
  1. Click the Do Search button.

The system will return the group of activities with a series of buttons.

  1. Click the Select All tab for training signoff.
  2. Unselect any employee whose training may not be completed by clearing the Training Sign Off checkbox located in the far right column.
  3. Click the Sign Off button to enter your password for signoff.

The system prompts for a password and allows you to enter manager comments. For example, you could note any special training that was performed: “We observed the individuals perform the procedure during a group training session.”

After signoff, the following operations occur automatically:

  • Training activities are removed from My Activities.
  • Training information is updated for each user or document.
  • An official e-signature is added to the training record.
  • The system will date and time stamp when signoff occurred.
NOTE: The date and time stamps are based on the location of the server time zone and not the location of the individual PC.
  • The system will record who signed off on training.
  • Any Manager Comments will be added to the training record.

NOTE: This group signoff is for employee signoff only; managers will still need to signoff individually on their own personal training activities.
NOTE: All group signoffs are by document or user and training activity type.
NOTE: It is recommended that, if using the Notification to Manager option, an individual whose activities are sent to a manager should be assigned to only one department location.
