Permission Levels
Permission to a particular function is assigned as Read/Write, Read Only, Read/Write with Delete, Admin, and None, as described in the following table. Please note that by their structure some options are Read Only even if you select Read/Write. Functions under the Management Option fall into this category (Activities, Training, and Signatures). These activities are Read-Only inquiries into the tables.

Access Level | What It Means |
Read/Write | Users in this permission group can add, view, modify, and delete records associated with the function. For example, if the Department function is assigned Read/Write access for the permission group, users in that group can add new departments, modify settings for existing departments, and delete departments. This option is not valid for the following options. If selected, system defaults to Read Only. ·View All Activities ·Training ·Signature ·Reports |
Read Only | Users in this permission group can only view records associated with the function. For example, if the Department function is assigned Read Only access for the permission group, users in that group can only view the settings for a department. They cannot create a new department, or edit or delete existing ones. |
Read/Write with Delete | This option is valid only for documents under local permissions and users under global permissions. Application Options UI:USE_SPECIAL_DELETE_PERMISSION:20002 and UI:USE_SPECIAL_DELETE_PERMISSION:23 must be set to YES. Setting this option to YES separates the delete function from the Read/Write function when assigning permissions. Leaving this option set to NO (the default) maintains the delete function with the Read/Write permissions for users and documents. |
Admin | This option is available only from the Local Permissions tab under Forms. It is used to: ·Unlock a signed form if the option to Lock Form on Signature is selected ·Reactivate a closed packet ·Reissue a quiz to a user on a form after a designated number of failures |
None | Users in this permission group cannot access the function. For example, if the Department function is assigned an access level of None for the permission group, users in that group cannot even view a department’s settings information. |
Permissions are organized into the following groups: global, local, and general. Global permissions are assigned to the user and local permissions are assigned to the documents, distributions, forms, and jobs. General permissions allow you to assign certain application functionality based on permissions.
