Location Permissions
The Locations Permissions tab can provide access to the following items on a location by location basis:
- Change Order. Valid if you have the Change Order module installed. It provides access to add, delete, and edit change orders.
- Distribution. Access to the setup and distribution of hard copy documents such as procedure binders.
- Document. Access to find and view documents.
- Facility. Access to the facility list under the Administrator menu option.
- Forms. Access to add forms.
- Job. Access to job table.
- Report. Permission to run reports.
- Quiz Module. Permission to add quizzes to specified locations that are set to Read/Write.
- User. Access to find and view a user’s information.
For example, if your organization has multiple locations, each of which has their own distinct users, you could create the following for each of the locations:
- A permission group for local TMS administrators, giving them Read/Write access to that location’s documents, jobs, review groups, distributions, and reports.
- A permission group for local document reviewers, giving them Read/Write access to that location’s documents, Read-Only access to reports, but no access to other local records. This permission group would also specify no access to the global permissions items.
Given this example, let’s say Documents A and B are assigned to location 1, and Document C is assigned to location 2. If a user belongs to a permission group that is assigned location 1, then access for that person would be limited to Document A and Document B.
NOTE: Review group administrators do not need TMS administrator rights to place documents in review. For example, a Review Group Administrator may not be able to add or change document information but would have rights to monitor the revision process of the document and nothing else. Document reviewers, unless also assigned administrative functions as part of their job description, would typically not be given Read/Write access to global permissions items.
CAUTION: Use caution when assigning permissions. For example, giving permissions to execute reports without permissions to users would allow an individual to run reports but not allow them to select user parameters when executing.
