Place in Review (Native Format)

When you select the Step 1: Place In Review checkbox option in the Administrator tab of the Document page, the system makes a copy of the document in the current directory and places it in the revision directory (TMSWeb_Web\WebRoot\Documents\Revision).

Users in the review group will check out the document that is in the revision directory for review. All changes will be made to this document. Only one person at a time can have the document checked out. Users will continue to have full access to the published document while the new revision is created.

The copy of the new revision will stay in the revision directory until it is published and moved to the Current directory (Step 4 of the process listed in the Administrator tab) or the revision is canceled (by un-checking Step 1: Place In Review option in the Administrator tab). If the revision is canceled, the document is removed from the revision directory.

When approving the document, the document is still in the revision directory. No checkout is possible at this time. If someone in the group cannot sign off on the document, the administrator can cancel the signature phase and begin the revision phase over. The document with all the changes from the first routing will stay intact for the second routing. An administrator can also cancel a checkout if the person who checked the document out goes on vacation and the document needs to be moved along.
