Document Search Criteria

Search options for the Filter and Favorite fields are described in the following table.

Document IDEntering PR will bring up all documents that start with the letters “PR”. Entering *PR will find all document that have “PR” anywhere in the document ID.
TitleEntering information in this field will assume wildcard and pull any document that meets the entered criteria.
Description/PurposeEntering information in this field will assume wildcard and pull any document that meets the entered criteria.
Workflow StatusSelect from the drop-down list.
JobSelect from the multi select drop-down list. If Application Options is set for NO for Preloading jobs, (UI:EDIT_LIST:PRELOAD_OBJECTS:20201) then you will be able to use the relationship grid for searching.
LocationSelect from the drop-down list.
DepartmentSelect from the drop-down list or use the select button. [Refer to the Application Options, described in List of Available Application Options to determine if the department is preloaded (drop-down list) or a select button.]
Review GroupSelect from the drop-down list or use the select button. [Refer to the Application Options, described in List of Available Application Options to determine if the department is preloaded (drop-down list) or a select button.]
Current Revision LevelThis is an exact match.
Document TypeSelect from the drop-down list.
Miscellaneous

Select from the drop-down list.

This field is a system free-use field that is set up on the Drop Down List  page and is called DocMiscellaneous .

ActiveIf Yes, will pull all documents with the Active flag checked. If No, will pull all documents with the Active flag unchecked. If blank, will pull both active and inactive documents.
In RevisionIf Yes, will pull only documents that are in some stage of the review cycle.
From (and Including) Initial Issue DateFrom and To dates will pull information from the initial issue date of the document.
To (and Including) Initial Issue DateSee above.
From (and Including) Last Revision DateFrom and To dates will pull information from the Last Revision Date located in the document table.
To (and Including) Last Revision DateSee above.
Next Review Date (on Or Before)Pulls all documents that are on or before the date entered for the next review date of the document.
Proactive Reviewer/Document OwnerPulls all documents that have been assigned to the selected proactive reviewer.
Default Training TypePulls all documents based on the Default Training Type entered on the document record.
Content

Entering information in this field will search inside the Word documents. You are able to use the “and” and “or” parameters for pulling information.

This function currently works only for documents published in Word.

·All Free Use fields

Any Free Use FieldsThis is the specific list of free use fields, and assumes wildcards. These fields are approximately 255 characters in length.
