Searching for Documents

Once your documents are loaded in the system, you can search for information using numerous search criteria from the Document Information field.

  • The operators Any: and All: can be used in the Title and Description search fields. For example: If you would like to find all records that have both quiz and policy in the title, you would enter “All: quiz policy” in the title field. If you would like to find either quiz or policy, you would enter “Any: quiz policy”.
  • Auto Search – When searching on Document Title and Document ID, the system displays an auto text pop-down for quick retrieval.  To use this function, begin typing in the Title or Document ID fields and the system will automatically search for text matches as you type.    

The following search options are available:

  • Favorite Search. Allows users (with permission) to select the fields they normally search on. These fields will be the default fields that display when selecting Document Search from the side panel
  • Drill-Down Search. Allows users to use the drill-down method for finding information.
  • Filter Search. Allows the users to view all searchable fields.
NOTE: When switching between the Favorite Document Search and Document Search, the system will automatically reset the search fields.

When you first enter the system, selecting Document List displays the entire list of documents.

When using the search function and the system returns the list, the list will remain until you perform another search or move from the basic functions to the administration functions. It then defaults back to the entire list.

If after you have completed a search and would like the entire Document List to return, you must perform another search without placing parameters in the search criteria. You can use the Reset Fields button to clear out all prior data.

To find documents published into the system:

  1. On the My TMS page, click the Document Search menu option.
 
  1. Click Filter Search.
  2. Select the specific search criteria.

For descriptions of the search criteria, refer to “Document Search Criteria” on page 28.

  1. Click Do Search.

The list of documents that meet the search criteria display.
